Zebra ZD421 setup guide: from unboxing to first label
This guide takes a new Zebra ZD421 from the box to a calibrated first label. It covers all three versions: the ZD421t with a ribbon roll, the ZD421c with a ribbon cartridge and the ZD421d for direct thermal labels without ribbon. Do the steps in this order and Windows will find the right driver the first time.
- Labels on a 12.7 mm or 25.4 mm core, up to 127 mm roll diameter. Width from 15 mm up to 108 mm (ZD421d), 112 mm (ZD421t) or 118 mm (ZD421c)
- ZD421t: a Zebra ribbon roll of 74 m or 300 m. ZD421c: a genuine Zebra ribbon cartridge
- A Windows 10 or 11 PC with administrator rights
- The USB cable from the box, or an Ethernet cable for a network connection
Before you start
Check the box
The box holds the printer, the power supply with its power cord, a USB cable and the printed Quick Start and regulatory guides. Thermal transfer roll models also come with empty ribbon take-up cores (25.4 mm and 12.7 mm) and two adapters for 300 m ribbons from other brands. Labels and ribbon are not included. Check the printer for transport damage and keep the packaging until you know everything works.
Choose a good spot
- A firm, level surface close to a power socket.
- A room between 4.4 and 41 °C with 10–90 % relative humidity, non-condensing.
- Out of direct sunlight. A printer that gets too hot pauses until the printhead cools down.
Know your version
| Version | Prints with | Skip |
|---|---|---|
| ZD421t | Ribbon roll, 74 m or 300 m | The cartridge section |
| ZD421c | Ribbon cartridge, 74 m | The ribbon roll section |
| ZD421d | Direct thermal labels, no ribbon | The whole ribbon step |
Load the labels
Connect the power supply to the printer and to a socket, but leave the printer switched off for now.
- Slide the two release latches towards the front and lift the cover.
- Pull the roll holders apart and place the label roll between them. Check that the roll turns freely and does not rest on the bottom of the media compartment.
- Pull the end of the labels out past the front edge of the printer.
- Push the labels under both media guides.
- Flip the labels up to see the movable media sensor underneath. For standard labels with gaps, and for continuous receipt paper, leave the sensor in its default position.
- Close the cover and press down on both front corners until the latches click into place.
Labels with a black mark on the back, or with notches or holes, need the sensor moved over the mark. Our ZD421 calibration guide shows how.

Load the ribbon
Skip this step on a ZD421d. Direct thermal labels darken with heat, so they need no ribbon. Never print in direct thermal mode with a ribbon loaded.
ZD421t: ribbon roll
Before you start, remove the wrapping and free the adhesive strip at the start of the ribbon. Check that the ribbon core and the empty take-up core both have notches on the left side.
- Open the cover. Push the right end of an empty core onto the spring-loaded right take-up spindle, line it up with the left hub and turn it until the notches lock. Use the empty core from the box for the first roll.
- Fit the new ribbon roll on the lower ribbon supply spindle in the same way: right end first, then lock the left end into the notches.
- Stick the start of the ribbon to the take-up core with its adhesive strip, or with a thin strip of tape. Keep it straight.
- Turn the take-up hub with the top moving towards the back until the leader is covered by ribbon and the slack is gone.
- Check that the labels are loaded and close the cover.
- After you switch on, press FEED to advance at least 20 cm of labels. This straightens the ribbon and removes wrinkles.
Keep the empty core when a ribbon runs out. It becomes the take-up core for the next roll. The ZD421t takes genuine Zebra ribbons of 74 m and 300 m. Use the included adapters only for 300 m ribbons from other brands.
Zebra's video shows a ZD411t; the ZD421t loads its ribbon the same way.

ZD421c: ribbon cartridge
The ZD421c works only with genuine Zebra ribbon cartridges. Open the printer and slide the cartridge, smart-chip end first, into the cartridge slot. Push until it is almost flush and you feel it lock, then close the cover. The printer reads the ribbon details from the chip.
Switch on and calibrate
Calibration teaches the printer the length of your labels and how to find the start of each one.
- Press POWER, the separate button at the left of the control panel.
- Wait until the STATUS light is steady green.
- Press and hold PAUSE + CANCEL for 2 seconds, then let go.
- The printer feeds a few labels while it measures them. When STATUS is steady green again, it is ready.
This automatic calibration is called SmartCal. You don't need to repeat it for a new roll of the same labels; press FEED once or twice instead. If labels still skip or the printer stops with a red light, follow the manual calibration in our calibration guide or look up the light pattern in ZD421 lights and errors.
Print a configuration report
With the printer ready (steady green STATUS), hold FEED + CANCEL for 2 seconds. The printer prints its configuration report, plus a network report if it has Ethernet or wireless. Check three things:
- The model and print resolution (203 or 300 dpi) at the top. You need both for the driver.
- PRINT METHOD: on a ZD421t or ZD421c it must read THERMAL-TRANS before you print with ribbon. If it doesn't, set thermal transfer in the driver (next step) and print the report again.
- On the network report: the IP address, once the printer is on your network.
Install the driver, then connect
Install the Windows driver before you connect the USB cable. If Windows finds the printer first, it lists it as an "Unspecified device" and the printer won't print properly. Download Windows Printer Driver v10 from the Zebra ZD421 support page, run it with administrator rights and choose the ZD421 at the resolution shown on your configuration report. Every screen, and the fix for "Unspecified device", is in Install the ZDesigner driver on Windows 11.
In the driver's printing preferences, set the print method to match your printer: thermal transfer on a ZD421t or ZD421c, direct thermal on a ZD421d. The driver and your label software can override the printer's own setting.
USB
When the installer asks for it, connect the USB cable to the printer and the PC. Windows then completes the installation.
Ethernet
Models with built-in Ethernet, such as our ZD421t USB/Ethernet version, have a network socket at the back. Connect the cable to your network. The NETWORK light turns green for a 10/100 connection or amber for a 10Base connection. Print the configuration report again to read the IP address, then choose the network port in the driver installer. On other models, Ethernet is available as a module you can fit later.
Wi-Fi and Bluetooth
Wireless is optional on the ZD421. A dual-radio module adds Wi-Fi and Bluetooth Classic and can be factory fitted or added later through a door under the printer. Switch the printer off and unplug all cables before you fit it, and update the printer firmware afterwards. You can configure the connection with Zebra Setup Utilities on Windows, or with Zebra's printer setup app on a phone over Bluetooth Low Energy.
ZD421 printers bought in Europe from 1 August 2025 can ship with extra security for the EU Radio Equipment Directive. Zebra's FAQ says this applies to models with Wi-Fi, or with Bluetooth plus Ethernet, and not to USB-only or USB/Ethernet-only models. A leaflet in the box with a link to the new setup instructions is the only way to tell. If your printer has it, set a Protected Mode password during setup; certain settings can only be changed with it. Zebra explains the steps in its PrintSecure Printer Administration Guide.
Frequently asked questions
Does the Zebra ZD421 come with labels or ribbon?
No. The box holds the printer, power supply, USB cable and guides. Thermal transfer roll models also include empty take-up cores and ribbon adapters, but no ribbon.
Can I use 300 m ribbon in the ZD421t?
Yes. The ZD421t takes ribbon rolls of 74 m and 300 m. Ribbons from other brands of 300 m need the adapters from the box.
Does the ZD421d need a ribbon?
No. The ZD421d prints only on direct thermal labels, which darken with heat. Don't load a ribbon.
How do I find out if my ZD421 is 203 or 300 dpi?
Print a configuration report by holding FEED and CANCEL for 2 seconds. The resolution is printed at the top.
What if I connected the USB cable before installing the driver?
Windows shows an "Unspecified device". Install the ZDesigner driver and update the device's driver as described in our driver guide.
