Zebra ZT411 setup guide: from unboxing to first label

This guide takes a new ZT411 from the box to a calibrated first label, for thermal transfer (with ribbon) or direct thermal (without ribbon), over USB or Ethernet.

You'll need
  • Labels on a 76 mm (3 in) core, up to 203 mm roll diameter
  • Ribbon coated on the outside, 51–110 mm wide (thermal transfer only)
  • A Windows 10 or 11 PC with administrator rights
  • A USB cable, or an Ethernet cable to your network

Before you start

Unpack and inspect the printer

Unwrap the printer straight away and check the outside and the media compartment for transport damage. Keep all packing material: the carrier needs it for a damage report, and Zebra's warranty does not cover transit damage. Contact us at once if anything is damaged or missing.

Box contents depend on the options ordered. Labels, ribbon and communication cables other than USB are not included. Remove all protective shipping items before you switch on, including the film over the media door window.

Choose a good spot

  • A solid, level surface for a printer of about 16 kg.
  • Free space on all sides for cooling. Never put foam or padding under or behind the printer, as it can overheat.
  • An easy-to-reach power outlet close by.
  • 5–40 °C for thermal transfer (0–40 °C for direct thermal), 20–85 % relative humidity, non-condensing.

Load the ribbon

Skip this step if you print on direct thermal labels. Not sure which you have? Scratch the printable surface quickly with a fingernail. A black mark means direct thermal, which needs no ribbon.

Important

The printhead can be hot enough to burn, so let it cool first. Zebra recommends switching the printer off when you work near an open printhead. This clears temporary settings such as label formats.

  1. Lift the media door.
  2. Turn the printhead-open lever upwards to open the printhead assembly (4).
  3. Slide the ribbon roll onto the ribbon supply spindle (5) so the loose end unrolls the way the path diagram inside the printer shows. Push the roll back as far as it goes. If the roll sits too far forward, the ribbon doesn't pass over the ribbon reflector plate and the printer reports Ribbon Out.
  4. Lead the ribbon under the printhead assembly and around its left side.
  5. Keep the ribbon as far back as possible under the printhead, wrap it around the take-up spindle (6) and turn the spindle a few times to tighten and align it.
  6. Leave the printhead open and continue with the labels.

Which ribbon fits

The standard ZT411 uses ribbon coated on the outside (ink side out). Inside-coated ribbon needs the optional ink-side-in supply spindle. To check a roll, press a label's sticky side onto the outside of the ribbon: ink on the label means it fits.

Use ribbon at least as wide as the label liner, ideally slightly wider, to protect the printhead. The ZT411 takes ribbon 51–110 mm wide and up to 450 m long on a 25 mm (1 in) core. No empty core is needed on the take-up spindle.

Load the labels

These steps use tear-off mode, which works with every ZT411 configuration and most label types. Fanfold labels follow the same path: place the stack behind or under the printer and drape it over the media hanger.

  1. Remove torn, dirty or taped labels from the start of the roll and pull the media supply guide fully out.
  2. Put the roll on the media supply hanger (1) and push it back as far as it goes.
  3. With the printhead still open, slide the media guide all the way out.
  4. Feed the labels under the dancer assembly (2), through the media sensor (3) and under the printhead assembly (4).
  5. Push the labels back until they touch the inside back wall of the media sensor. Then slide the media guide in until it just touches the edge of the labels.
  6. Turn the printhead-open lever down until the printhead locks in place, and close the media door.
  7. Plug in the power cord and switch the printer on, but don't connect it to the computer yet. Press PAUSE if the printer is paused.

The standard hanger takes 76 mm (3 in) cores and rolls up to 203 mm in diameter; 25 mm (1 in) cores need the optional hanger. In tear-off mode labels can be 25.4–114 mm wide.

Set the print method and label type

Tell the printer how you print. Make these settings on the touch display:

Setting Menu Choose
Print method Print › Print Quality › Print Type Thermal Transfer (with ribbon) or Direct Thermal (no ribbon)
Label type Print › Print Quality › Label Type Gap/Notch, Mark (black-mark stock) or Continuous
Collection method Print › Label Position › Collection Method (on some firmware versions Print › Image Adjust › Media Handling) Tear Off

A mismatch causes a Ribbon Out or Ribbon In alert. Choose the same print method in the driver and your label software later, because they can override the printer.

Tip

The Print wizard covers this step and the next. Touch Wizards › Print › Start Print, answer the questions, and the printer runs an auto calibration and offers a test label. Don't send print jobs while a wizard is running.

Calibrate the sensors

Calibration teaches the printer where each label starts and how to detect the ribbon. Repeat it whenever you change the label size or type, or the ribbon.

Left: section through the media sensor. Right: labels seen from above. 1 Receiver (upper part of the sensor) · 2 Light source with green light (lower part) · 3 Gap between labels · 4 Sensor, slides across the label width · 5 Media guide, just touching the label edge · 6 Back wall, labels pushed against it.

Check the sensor position

The labels run between the light source (lower part) and the receiver (upper part) of the media sensor. If the printer cannot find the start of the labels, remove the ribbon and check that the green sensor light shines through a gap, notch or hole. If not, slide the sensor sideways with the media sensor adjustment.

Run a manual calibration

  1. On the touch display, open Print › Sensors › Manual Calibration and touch Start Calibration.
  2. Follow each on-screen step exactly and touch Next after each one. If the printer asks for it, peel a few labels off and place the bare liner under the sensor.
  3. To cancel at any point, press and hold CANCEL.
  4. When calibration is complete, press PAUSE to leave pause mode.

Direct thermal takes 14 steps, thermal transfer 16. If labels stop slightly off the tear bar, adjust Tear Line Offset (−120 to +120) in the same Print menu as the collection method: negative values move labels in, positive values out. To calibrate automatically at power-up or when the printhead closes, set System › Settings › Power Up Action or System › Settings › Head Close Action to CALIBRATE. Labels still skip? See ZT411 skipping labels.

Install the driver, then connect

Install the Windows driver before you connect the printer. If Windows finds the printer first, it may install the wrong driver and list it as an "Unspecified device". Download ZDesigner driver v10, which Zebra recommends, from the Zebra ZT411 support page, run it with administrator rights and choose your port, model and resolution. The part number below the media hanger shows the resolution: ZT41142-… is 203 dpi, ZT41143-… is 300 dpi. Every screen is in Install the ZDesigner driver on Windows 11.

USB

Remove the label covering the printer's USB port and connect the cable to the printer and the PC. Then switch the printer off and on again: Windows finishes the driver installation while the printer starts up.

Ethernet

Connect the network cable to the built-in 10/100 Ethernet port and restart the printer. On start-up it requests an IP address from your network; touch the Printer Info tab on the home screen to see it. 0.0.0.0 means the connection failed, so check the cable and socket.

Wi-Fi (optional)

Wi-Fi needs an optional wireless card. See Connect the ZT411 to Wi-Fi.

Important

ZT411 printers sold in the EU from 1 August 2025 ship with Wi-Fi (WLAN) and USB mirroring switched off, in line with the EU radio equipment rules. Before you set up a wired or wireless network connection, you need to set a Protected Mode password and a front-panel password, as described in Zebra's Link-OS PrintSecure Printer Administration Guide.

Print a configuration label and a test label

  • Configuration label: when the printer is Ready (green STATUS light), hold FEED + CANCEL for 2 seconds, or touch System › Settings › Print: System Settings. It lists the current settings.
  • Network label: Connection › Networks › Print: Network Info prints the IP address and network settings.
  • Test label: run Wizards › Print › Start Print and accept the test label. On the last step, Print Quality Assistance prints several test labels, you pick the best, and the printer sets darkness and speed to match.

Then print from your own software. On the Printer Info tab, check that Link-OS is 7.0 or later, otherwise update the firmware. Pale print? See ZT411 faded print.

Frequently asked questions

Does the Zebra ZT411 come with labels or ribbon?

No. Labels, ribbon and communication cables other than USB are not included, so order them with the printer.

Which side of the ribbon faces out on the ZT411?

The coated (ink) side faces out on the standard ZT411. Inside-coated ribbon needs the optional ink-side-in spindle.

Do I need an empty core on the ribbon take-up spindle?

No. The ribbon wraps directly around the take-up spindle. To remove used ribbon, cut it before the spindle, never on it, turn the ribbon release knob and slide the roll off.

Why does the printer say Ribbon Out with direct thermal labels?

It is still set to thermal transfer. Set Print › Print Quality › Print Type to Direct Thermal, and match the setting in your driver.
